Most frequent questions and answers
One dedicated travel advisor to your group. I also work with you on setting up your company/group, report management and the liaison between you or main POC and the travel advisor.
Our office hours are Monday – Friday from 8:00am to 5:00pm. We do have an after-hours which we prefer is used more for emergencies vs. something that can be handled during business hours. Our after-hours provides support M-F during non-business hours and on the weekends.
If travel is during business hours, then we assist your travelers if they need assistance. If the event is on the weekend, we can discuss options on how we can be of assistance and our after-hours can also be of assistance.
We use Grasp Technology for report management. We can offer an array of reports, such as tracking spend, we provide a credit card reconciliation, Arrival/Departure Manifest, etc. I work with you to determine what your needs are, so you have the most up-to-date information needed.
- Name of company, address, main POC-phone number, and email.
- Company logo (for customizable registration link (if needed) and on itineraries.
- List of attendees or if you know departure cities-helpful when setting up airline contracts
- Dates of event, arrival time by, departure time, pre/post accepted, deviations accepted
- Credit card information
- Name of hotel
- Transportation-are you working with a DMC? If not, how is transportation provided between the airport to the event/hotel?
- Is your company paying for guest travel?
- Children allowed?
- Budget allowed per ticket
- Any reporting documentation (registration type i.e.-associate, advisor, top 10, etc.)
- If you are not using a registration link like Cvent, then I create a registration link that each of your attendees fills out. I work with you on customizing the form to fit best into your group’s needs and what is needed for you/your company. Here is a sample link: https://form.jotform.com/222766872317969
- If you are working with Cvent or something similar, I too work with you on making sure the registration page you create coincides with the information that is needed for air travel.
$35.00 per person/reservation.
Our after-hours charges are $35.00 per call vs. we charge $35.00 when a ticket is issued or exchanged. Other than that, all fees are looped into one which is when the ticket is issued at the $35.00 fee. There are no additional fees for report management, customizing a link to register, etc.
I put together a service agreement. Possibly an airline contract if it requires your signature.
